25 Mentoring Pairs Matched for SEED and PreSEED

Mentor Matching Status
My first 22 email invitations for potential mentors in the Global Sales and Service (GSS) SEED term went out 27 May. The PreSEED emails went out the next day. In the first week after starting these mentor matching cycles, 22 of the 80 participants were matched (28%). This is low for a usual term but with the Sun-Oracle transition uncertainties plus JavaOne this week, it is to be expected. Three more have been matched today already, so responses are picking up.

Both terms will run 15 June - 15 December 2009. The majority of both terms' participants work outside of the USA. Only 7 of the mentor-mentee pairs matched so far are local to each other. Fortunately, quarterly SEED satisfaction reports show no statistical difference between working locally and at a distance. SEED Mentor Matching Off to a Good Start

I started the mentor matching cycle late last week for the 15 June - 15 December 2009 SEED and PreSEED worldwide Engineering mentoring terms. Sheri Kaneshiro is providing support for the extensive SEED web tools designed by Tanya Jankot while Tanya is on leave with her new baby. It takes Sheri and me a little longer to work everything out but we are making good progress now. Since the first invitations to 80 potential mentors went out on 27 May, there have been 12 acceptances (5 for SEEDs and 7 for PreSEEDs). 68 to go!

Today, I was happy to confirm the last of the 15 rematches for mentees from four terms whose mentors left Sun since February 2009. SEED has a standing offer to re-match any mentee whose mentor leaves Sun within three months of their original match. Rematches are for a full six months. For some reason, rematches take longer than first matches but everyone does get matched in time.

SEED Mentoring Participants Selected

On 14 May, the Global Sales and Service (GSS) executive Selection Committee, made up of six Directors and Vice Presidents, picked the 23 new participants for the 15 June - 15 December 2009 SEED worldwide Engineering mentoring term. This is the second GSS-only term for SEED. There were 38 applicants this term. The selection was very difficult. Participants in the SEED program were chosen based on professional performance, manager and executive recommendations, and the other SEED Selection Criteria.

The SEEDs in our second GSS term are an unusual group in several dimensions: all men, mostly in Europe, plus two countries in which SEED has not had participants working before: Hungary and Slovakia. Compare to the more-usual demographic/geographic distribution of the current PreSEED term announced on 8 May 2009.

The first GSS term also had some unusual metrics. As I reported on 20 November 2008 and 5 March 2009, that GSS term included few women, and was widely distributed geographically, but ended up with 96% mentoring pairs working at a distance (where the mentor and mentee are in another state or country). It will be interesting to see how this second GSS term's mentor matching patterns work out.

The 81 new GSS SEED and PreSEED participants are now researching and writing their 3-learning-goal plus 10-name Mentor Wish Lists, due 22 May.

Keeping Current

An ongoing challenge of running the SEED worldwide Sun Engineering mentoring program is keeping all of its web pages current. The web pages present information, resources, and reports to SEED mentees, mentors, and managers, help to reduce email traffic, and also support participants so they are less dependent on program staff. However, even with all of the web information, SEED generates over 1,000 email exchanges in an average month. The SEED program staff (Tanya Jankot, Sheri Kaneshiro, and me) maintain many dozens of internal SunWeb pages, plus a few which are external. SEED's web presence has been growing since the program started in 2001.

Today, I have been updating SEED's primary external web page: http://research.sun.com/SEED/, checking links and adding resources. I added some new program reviews and took out older reports which have disappeared since the last update. Here is what we have now:

On 6 May, 58 PreSEED Sun Engineering mentoring program participants were selected for the 15 June - 15 December 2009 term out of an applicant pool of 76. The GSS SEED term applicants are being considered now by the executive selection committee, who will give their ratings at our meeting next week. Welcome New SEED Mentors

Welcome and Congratulations to the 46 New Mentoring Pairs of the SEED Established Staff (April - October 2009) World-wide All-Engineering Mentoring Term: We are honored and delighted to include them!

This term had a 44 day mentor matching cycle (11 March - 24 April 2009). 77% of the pairs were matched in the first 3 weeks. Two of the participants in this SEED term had also completed a PreSEED term. This term was reduced by 3 mentees leaving Sun after they were matched.

Additional metrics:

    • Executive Mentors: 74% of the mentoring pairs include an executive mentor (Vice Presidents, Fellows, Directors, Principal Engineers, Distinguished Engineers, etc.)
    • Local vs. Distant: 16 mentoring partners are working local to each other (34%), 31 of the mentors and mentees work at a distance from each other - in another state or country (66%)
    • Meeting Priority Requests:
      • 87% of mentees were matched with one of their top four mentor requests (41 count)
      • 25 mentees were matched with their 1st or 2nd priority mentor (53%)
      • 16 mentees were matched with their 3rd or 4th priority mentor (34%)
      • 6 mentees were matched with a mentor lower than 4th in request priority (13%)

Photos from the SEED Event

We had 81 people registered for the annual Spring Event by the SEED worldwide Engineering mentoring program. Fewer actually participated (I think Monday's "Oracle to Buy Sun" announcement caused some sudden schedule rearrangements). However, the event went well and feedback so far has been positive.

A group of mentors and mentees had dinner on Monday night at Mike's Cafe (150 Middlefield Road at Willow, Menlo Park, CA) just a few miles from Sun. Yesterday, we heard two speakers and a panel in the morning, then went on two afternoon tours.

The annual SEED mentoring program Spring event starts with a dinner on Monday night, followed by a day of talks and tours on Tuesday, 21 April. We have 70 registered to participate so far:

21 Applicants to PreSEED So Far

Yesterday, I sent out the world-wide all-Engineering announcement that Sun's new PreSEED mentoring term is accepting applications through 30 April. We have 21 applicants already; 7 of the applications are complete. PreSEED has a time-based acceptance process: we will take the first 50 with complete and verified applications. During the most recent PreSEED term in 2008, the first 50 applications were completed by the 12th day of the application period.

One way to think of PreSEED is as a preliminary to Sun's successful SEED Engineering mentoring program. Since 2001, the CTO-sponsored SEED program has a proven track record of strong diversity, very high satisfaction, high regard by management, and high retention. SEED participants as a group earn more promotions and higher performance ratings than Sun overall. Of course, individual experiences will vary.

We set up PreSEED with a time-based acceptance rather than a content-based system like SEED's to accommodate PreSEED's target population: Members of Sun's Technical Staff who have been getting almost all "Sun Standard" (2 or Standard-level) performance ratings. Other aspects of PreSEED (such as the required preliminary discussion between mentee and manager, the required training of mentor-mentee, and the option of joining SEED in the future) are also part of the program because PreSEED's participants are often more junior in terms of professional accomplishment than are SEED's. Since many of the PreSEED applicants are at about the same level of career achievement, we created an acceptance system that did not focus on small or potentially-arbitrary differences in accomplishment. Thus, the time-based acceptances.

SEED mentoring term open for Global Sales and Services

Peter Ryan, Sun's Executive Vice President for Global Sales & Services, today announced the opening of applications for the second GSS worldwide SEED mentoring term. The application period ends 30 April 2009. The first GSS mentoring term started in January; this second term will run from 15 June. The SEED program has been working to develop the two GSS-only terms with 13-time SEED mentor Hal Stern (Vice President, Global Systems Engineering, GSS) for about a year. It is good to get this announced!

PreSEED mentoring term open for applications

Just about two hours ago, I sent out the world-wide all-Engineering announcement that Sun's new PreSEED mentoring term is accepting applications from today through 30 April. We linked up the overview pages a few days ago so potential applicants could review the material and get ready.
